Shipping Policy

At Fit Rehab Equip, our priority is to ensure that your equipment arrives safely and that you understand the responsibilities associated with receiving freight deliveries. Please review this shipping policy carefully, as it outlines the expectations for both the customer and the freight carrier during the delivery process.

 


 

Delivery and Freight Carriers

All large equipment orders, such as treatment tables, shockwave systems, laser therapy units, and other similar items, are shipped through independent third-party freight carriers. These companies are not owned, operated, or controlled by Fit Rehab Equip. While we work with reputable carriers, we cannot dictate their delivery schedules, methods, or individual driver practices.

The standard level of service provided by freight carriers is curbside delivery. This means the carrier’s responsibility ends once the shipment is unloaded from the truck onto your curb, driveway, or nearest accessible point. The driver is not responsible for carrying heavy equipment into your building or office. Smaller shipments that arrive in boxes may occasionally be brought inside at the driver’s discretion, but this should not be expected or relied upon.

Inside delivery is not automatically included with freight service. Customers who require inside delivery must request it in advance, and in most cases, this service comes with a significant additional charge. For many customers, it is more practical to uncrate the shipment at the curb and move it inside with the help of staff, friends, neighbors, or local moving professionals.

In some cases, Fit Rehab Equip can provide white glove delivery and full set-up service in the Dallas–Fort Worth metroplex and surrounding parts of North Texas. This service is not standard and is offered only by special arrangement. Customers who are interested must request this option in writing at the time of their quote or invoice.

 


 

Inspection and Acceptance of Freight

Customers are responsible for thoroughly inspecting all freight upon delivery before signing the Bill of Lading (BOL). The BOL is the legal document that transfers financial responsibility from the carrier to the customer. Once you or a member of your staff signs this document, you assume full responsibility for the shipment.

During inspection, carefully check for external damage to the crate, box, or pallet. If severe damage is visible, such as broken frames, significant cracks, or crushed packaging, you may reject the shipment entirely. Rejection is a serious step, but in the case of major damage it is often the best way to prevent further issues.

If minor damage is discovered—such as scuffs, dents, or a damaged cushion—you may still accept the shipment, but it is critical that you make detailed written notes on the BOL and take clear photographs. Always request a copy or take a photo of the signed BOL with your notes for your records. Minor parts such as handles, cushions, or accessories can usually be replaced at no cost to you once we have documentation.

Failure to inspect the shipment prior to signing may result in the loss of your ability to make a damage claim with the carrier. This is why careful inspection is one of the most important parts of the delivery process.

 


 

Preparing for Delivery

Receiving and uncrating large equipment often requires preparation. Customers are advised to have basic tools on hand, including a hammer or pry bar for crate removal, cutters or scissors for packaging materials, and a drill to remove wood screws that secure equipment inside the crate. A four-wheel dolly is highly recommended to move large tables or heavy units, as it reduces physical strain and prevents injury.

When lifting equipment, it is safest to lift one end at a time rather than attempting to carry the entire unit at once. This technique helps prevent damage to the equipment and reduces the risk of personal injury. Proper planning and preparation will make the process of moving equipment into your facility faster, safer, and more efficient.

 


 

Tracking and Scheduling

Once your order has shipped, Fit Rehab Equip will provide you with a tracking number, Bill of Lading number, or PRO number, along with the name and phone number of the freight carrier. Customers are responsible for contacting the carrier to confirm important delivery details, including:

  • Verification of the correct delivery address

  • Confirmation of a reliable phone number where someone can be reached at the time of delivery

  • Notification of business hours, lunch breaks, and clinic schedules to avoid missed deliveries

Freight carriers do not operate in the same way as parcel services like UPS or FedEx. They do not make multiple attempts to deliver packages. If a carrier arrives and no one is available to receive the freight, the driver will leave and reschedule delivery, and you will be responsible for the redelivery fee. These fees average around $150 but can vary depending on the carrier.

To avoid unnecessary charges, customers must ensure that someone is present and available to accept the delivery during the scheduled time window.

 


 

Delivery Issues and Customer Responsibility

In the event of any problems during delivery, customers should contact Fit Rehab Equip immediately for advice or assistance. We can often help coordinate with the carrier to resolve issues, but timely communication is essential.

It is the customer’s responsibility to be prepared for the arrival of freight. This includes ensuring that staff are present, tools are available, and any necessary arrangements for moving or storing the equipment have been made.
